I need an FAA Agent for Service, how does it all work?

The FAA now requires all FAA certificate holders with a non-US address to appoint a US Agent for Service. The process is simple. You create an account with us at agent.valiair.com/registration, make payment, and enter your certificate information. After that the system will provide you the instructions on how to appoint us as your US Agent for Service on usas.faa.gov.

What makes Valiair better than the competition?

Valiair is a well-regarded and established aviation administrative services provider with many years of experience in the aviation industry and the market leader for FAA US Agent for Service accounts. Valiair has its own full-time desk inside the FAA Aircraft Registry in Oklahoma City. Valiair's Agent for Service office is nearby and located directly next to a post office, to ensure swift delivery of FAA mail.

We developed our own Agent for Service portal software in-house and it meets all major data security standards. We are less expensive than the majority of our competitors. Because we are a large Aviation Administrative Services Provider we receive excellent shipping rates, which we pass on to our clients who request mail forwarding.

Can I use a U.S. mailing address instead of appointing an agent?

Yes. If you genuinely maintain a physical U.S. address where you can receive legal documents you can become compliant by changing your mailing address to this address.

Instead of appointing a professional US Agent for Service, can I ask a friend or relative to be my agent for service?

Yes, if a family member, friend, or colleague in the US can reliably receive mail for you and agrees to serve as your US Agent for Service, you can appoint them. The agent for service does not need to be a professional service provider, although there are significant advantages to using a professional company.

Does the FAA's new rule apply to mechanics, dispatchers and other non-pilot certificates?

Yes. The rule applies to all FAA airman certificates listed in Parts 61, 63 and 65, which includes "non-flying" airman such as mechanics, ground instructors, dispatchers, etc. It also includes medical certificates.

What should I do if I haven't received a verification code via email?

Please check your Spam folder.  If the email with the verification code isn't there, it is possible your email provider is blocking our automated email system. It may be worth trying another email address with a different provider.

I cannot log into the Valiair portal anymore. What do I do?

If you cannot remember your password, please reset your password by selecting "Forgot Your Password?" under the login box, or by going to this link: agent.valiair.com/forgotten-password.

How do I update my contact details after registration?

You can change your contact information under settings in your Valiair portal account.

Subscription & Payment

How much does the service cost?

The fee is USD 75 per year, billed annually. This includes your own Valiair Agent for Service portal account and unlimited digital delivery of FAA correspondence. It does not include the shipping fees to have physical copies forwarded.

What is included in the annual fee?

Your fee covers agent designation, document acceptance and digital delivery, unlimited support, and secure online document storage.

When and how do I renew the service?

Your subscription will renew automatically on the anniversary and be billed to your credit card on file. You will receive a renewal email from us. If your payment method has expired or declines, the system will notify you and request for you to update your payment information.

What forms of payment do you accept?

All major credit cards are accepted at checkout. Our payment provider offers additional payment options that depend on the country you are in. These can include PayPal, Apple Pay, SEPA, local bank transfer, etc. Corporate customers may request an invoice for ACH or international bank transfer.

Do you offer discounts for groups of certificate-holders?

Yes, groups of five or more certificate-holders that sign up together receive a discount. Companies that want to open accounts for their employees also receive a discount. If you would like to request a discount code for a group or company, please let us know at agent@valiair.com.

How can I get the AOPA discount?

Please email your AOPA member number to agent@valiair.com to receive the AOPA discount code.  You can also log into your AOPA Germany account and look for the Valiair benefit.

Can I cancel the service and switch agents later?

Yes. Simply log back into the USAS portal, enter the new agent’s information, and log into the portal to delete your Valiair account. Unused months are not refundable.

Designation

How do I designate Valiair as my U.S. Agent in the FAA portal?
Step 1

Log in to the FAA USAS portal: 👉 usas.faa.gov
If you don’t have a USAS account yet, click “Request a New Account” and follow the prompts.

Step 2

After logging in, provide your FTN (FAA Tracking Number) and date of birth.

Under the Service Agent Company section, enter:

Once completed, you’ll receive an email confirmation from the FAA and we can officially support your compliance needs.

Do I need to notify the FAA is I change my Agent for Service?

Yes, according to 14 CFR 3.303, "Individuals must notify the FAA (…) of any change to their U.S. agent designation or the U.S. agent's contact information within 30 days of the change."

USAS is asking for my FTN, where can I find it?

If you do not know your FTN (FAA Tracking Number) you can obtain it from the top right corner of Airmen Services after logging in (amsrvs.registry.faa.gov/amsrvs). You will have to create an account if you don't have one yet. Alternatively, the FTN can be found on IACRA on the left side below the username or MedXpress under My Account.

How do I know that my agent designation on USAS was successful?

You’ll receive an on‑screen confirmation and email confirmation from the FAA. If you log into your USAS portal you will see Valiair's agent information listed.

Can I designate Valiair before I apply for my certificate?

Yes. New applicants must designate an agent before submitting Form 8710‑1 on IACRA; the portal will prompt applicants with a non-US address for Agent for Service information during the application.

I lost my USAS portal password. How do I reset it?

Click “Forgot Password?” on usas.faa.gov and follow the e‑mail link. If you still have trouble, email the USAS Help Desk at APP-AIT-USAS@faa.gov.

Where can I read about the FAA's new US Agent for Service regulation?

You can review "Final Rule, 89 FR 81305 (08 Oct  2024)" in the Federal Register, FAA Advisory Circular AC  3‑1, and 14 CFR § 3.301 - 303.

What support does Valiair provide after designation?

We accept and forward FAA service correspondence and legal notices, and provide live customer support via e‑mail, phone, and WhatsApp 24 × 7 to assist with a broad range of FAA-related questions.

Should I use Valiair's address for my FAA MedXpress form?

If you have appointed Valiair as US Agent for Service using your FTN in the USAS portal (usas.faa.gov) then there is no need to enter our address in MedXpress or IACRA as the systems communicate with one another and identify you across certificates using your FTN.

Should I enter Valiair's address in my application in IACRA?

If you appointed us as your US Agent for Service in the USAS portal (usas.faa.gov) using your FTN, then there is no need to use our address for your application in IACRA, as the systems talk to each other and identify you across certificates using your FTN.

How can I confirm if my PPL and FAA class 3 medical have been successfully uploaded?

You can see which certificates are active in your Valiair account by logging into the portal, clicking the certificates icon on the bottom left, and looking at the list of active certificates. To add certificates, please select Add Certificate and enter the data.

Letters & Shipping

Is physical forwarding of mail included in the annual fee?

No. To have physical copies of correspondence forwarded to you, you can submit the request in the portal and select a shipping speed (Express, i.e. courier service like DHL or UPS; Standard: US Postal Service airmail). You will be billed at our cost without extra margin. As a large Aviation Administrative Services Provider we receive excellent shipping rates, which we pass on to our clients.

How will I be notified when you receive mail for me?

Whenever we receive correspondence on your behalf, you will be notified via email and text message (if you have opted in). You can then log into the portal, review your document, and decide whether to archive, shred, or forward it.

How can I find my shipment tracking number after paying for shipping?

The system will send you the shipment information via email and you can see it in the portal.

What kind of FAA mail will go to you?

As Agent for Service, the FAA will only send us "service correspondence." This includes:

  • Enforcement action letter, notices, and orders
  • Reexamination letters
  • Letters of investigation
  • Letters requesting additional information or denying a medical certificate
  • Notices to aircraft owners of ineffective or invalid aircraft registration

It does not include regular mail, such as replacement or new pilot licenses (certificates) or aircraft registration certificates.

Will my new or replacement pilots license be sent to you?

New or replacement pilot licenses (certificates) will not be sent to us, unless you change your mailing address to our address. In lieu of appointing us as US Agent for Service, you would go to FAA Airmen Services (amsrvs.registry.faa.gov/amsrvs), create an account if you don't already have one, and change your mailing address to ours. It is important that you add c/o Valiair on the first address line so that we can legally open your mail.

Referral program

What is the FAA Agent for Service referral program?

The referral program rewards our existing customers for helping us grow. When you refer someone to our FAA Agent for Service, and they sign up using your unique referral link, you get $50.

Who is eligible to participate in the referral program?

Anyone with an active FAA Agent for Service account can participate in the referral program.

Important: Team Managers and Members are not eligible to participate in the referral program. The Referral tab in their account settings will be hidden.

How do I refer someone?

You can refer others either by sending them your unique referral link or by directly inviting them via their email address.

You can find your unique referral link in the Referral tab of your account settings. Simply share this link via email, social media, or directly with friends and colleagues. When someone signs up using your link, the referral will be tracked automatically.

You can also directly invite others inside the Referral tab of your account settings. Simply enter their email address and they will receive an email from us with an invitation to join the platform and your referral link. Important: users have to click the link in this email — which is your referral link. We can’t track users that you invited via email but didn’t use your referral link.

What rewards do I get for referring someone?

You’ll receive a $50 reward for each person you refer who completes a paid signup. There’s no limit to how many people you can refer — the more you share, the more you earn.

We use the email address associated with your account as your PayPal payout address for payouts. If your PayPal email is different, you can update it anytime in the Referral tab in your account settings.

Does the person I refer get a reward?

No. Only you will get a $50 reward for each person you refer who completes a paid signup.

How and when will my reward be paid out?

Referral rewards are subject to a 14-day holding period after the referred user completes their paid signup. This helps us prevent fraud and handle any potential issues with the account.

After the holding period, payouts are processed in batches every 30 days. This means you can expect to receive your reward between 14 and 44 days after your referral signs up and pays.

We use the email address associated with your account as your PayPal payout address. If your PayPal email is different, you can update it anytime in the Referral tab in your account settings.

Is there a limit to how many people I can refer?

No, there is no limit how many people you can refer.

How do I track my referrals and rewards?

You can find your successful referrals within the Referral tab in your account settings. They will have the status Referred. When we paid the money, the status will change to Paid.

What happens if my referral doesn’t use my link?

Unfortunately, we can only track referrals made through your unique referral link. If someone signs up without using your link, we won’t be able to issue a reward.

Are there any restrictions on how I can promote my referral link?

You can share your link with friends, colleagues, or on your personal social media. However, paid advertising, spam, or posting on coupon websites is not allowed and may result in disqualification from the program.

Do referral rewards expire?

Referral credits do not expire as long as your account remains active. If your account is closed, unused rewards may be forfeited.

Can I receive a reward for referrals I made before the referral program started?

We appreciate your enthusiasm and support in spreading the word about FAA Agent for Service. However, referral rewards can only be issued for signups that occur through the official referral system, which began on July 18th, 2025.

Unfortunately, we’re unable to retroactively track or reward referrals made before the program was launched, as there was no system in place at that time to verify and credit those referrals.

We truly value your support, and we encourage you to continue sharing your referral link going forward — there’s no limit to how many people you can refer, and your future referrals will be tracked and rewarded automatically.
